Your personal data is processed to respond to your message, follow up as necessary, and establish communication.
For general enquiries: based on legitimate interests (Article 6(1)(f) GDPR).
For service/quotes: based on pre-contractual steps at your request (Article 6(1)(b) GDPR).

• Content of your message (please only include information needed to handle your inquiry; avoid sensitive data unless strictly necessary).

• All data transmissions via our web forms are protected by SSL/TLS encryption.
• Messages are processed and stored on secure OVH servers (EU-based), not on this website. Data at rest is protected by strong access controls and secure mailbox storage.

5. Legal bases (GDPR art. 6)

The processing of your data is based on:

• Legitimate interest (Art. 6(1)(f) GDPR): responding to normal enquiries.
• Pre-contractual steps (Art. 6(1)(b) GDPR): when your contact relates to a service or quotation.
• You provide this data voluntarily by submitting the form.

6. Storage & location

Data are not stored on this website. Messages are sent directly to a dedicated mailbox and processed/stored on secure OVH servers located in the EU. OVH acts as the processor under a contractual arrangement;
CheckMate remains the controller of the processing.

7. Recipients

Access is restricted to CheckMate only. Your data will not be shared with third parties, except where required by law (for example, with competent authorities or legal counsel in order to establish, exercise, or defend legal claims).

8. International transfers

No data is transferred outside the EEA. If this changes, you will be notified and appropriate safeguards put in place (e.g., SCCs).

9. Retention

• General enquiries: up to 6 months after the last interaction.
• Prospects / pre-contractual discussions: up to 3 years after last contact (needed to manage follow-ups and defend against routine claims).
• If a contract follows: keep related correspondence for the contract term + the applicable limitation period (p. ex. preuves comptables), then delete/archive securely.
  We delete earlier if you validly object and no overriding grounds apply.

10. Your rights

You have the right (Articles 15–22, GDPR) to:

• Access copies of your data
• Rectify any inaccurate data
• Erasure (“right to be forgotten”)
• Restrict processing
• Data portability (if applicable)
• Object to processing (especially for legitimate interest)

No automated decision-making, including profiling or analytics, is conducted in processing your form data.
